How do you make sure a Shopify free gift reaches fulfillment?

Verify the gift as the intended order item and warehouse SKU, then confirm the normal packing workflow handles its quantity, stock location, and exceptions.

The promotion is not complete when a widget displays the reward. The warehouse needs an accurate instruction and the stock to execute it. Trace the gift through the same artifacts the fulfillment team uses every day, rather than creating a special campaign-only assumption.

Which records should agree?

Shopify’s fulfillment documentation is a starting point for reviewing the order workflow. For the insertion stage, Monk Commerce documents automatic gift product configuration. These cover different steps; neither alone proves the warehouse received the intended item.

How should you validate the normal fulfillment path?

Use an appropriate representative order with the actual gift variant. Review it in Shopify and in the warehouse system. Confirm that the gift is visible to the picker, can be sourced from the intended location, and is included in the resulting packing workflow.

Review inventory configuration alongside that order. Ask whether paid products and the gift can be fulfilled together and what happens when they cannot. A separate shipment may affect cost and customer expectations; evaluate that explicitly rather than assuming the free price means free delivery.

What is different about manual gift packing?

If the gift is added outside the online cart, give fulfillment a clear eligibility rule and reconcile the included units against eligible orders. Identify whether the warehouse receives that rule through an integration, a tag, a report, or a written process. Do not describe an editorial process proposal as an automatic Shopify feature.

Decide whether the customer is promised a specific item or receives an unadvertised sample. A guaranteed gift deserves an exception process when it cannot be packed. Keep the storefront promise consistent with the process the warehouse can actually execute.

Which exceptions should be rehearsed?

Include partial fulfillment, canceled orders, unavailable gifts, and a customer-selected variant. If an order is edited, confirm whether the gift needs a human review. For replacement and return scenarios, use the store’s approved policy rather than inventing a gift-specific rule at the packing station.

Assign one owner to reconcile reported missing gifts. The investigation should distinguish not qualifying, not selecting, not inserting, not transmitting, and not packing. Each has a different corrective action. The launch acceptance guide supplies a common record for these checkpoints.

Limits of this guide

No warehouse, third-party logistics integration, packing document, or physical shipment was tested. The proposed checkpoints must be adapted to the merchant’s systems. Shipping charges, tax, returns, and contractual treatment are outside this guide’s evidence scope. A correct order record does not independently establish that a parcel contains the gift.

Frequently asked questions

Is a cart screenshot enough proof that the gift will ship?
No. Review the final order and the system the warehouse uses, then verify the relevant gift SKU and quantity through the normal packing process.
